We obtain realistic cost estimates, including implementation services and annual recurring costs and present this back to you as a “Market Scan” report.

Our Market Scan process provides stakeholders with a clear picture of the business requirements and how these may be addressed (including potential time and investment costs) with a comparison between several ERP solutions.  

ERP Selection 

The next stage is a more detailed evaluation of short-listed products, including product demonstrations.

We work on briefing vendors about preparing for a product demonstration, including providing sample data, process maps and guidelines on what to present.  We schedule the demos and attend these with your team.

Once one or more preferred vendors have been selected, we manage the process of issuing a  RFP and reviewing responses and the associated software and professional services terms and conditions.  We provide our feedback on the best overall package as an independent advisor.

Understanding ERP Systems

Enterprise Resource Planning (ERP) can be viewed as a philosophical approach to a single system that operates across the entire business. This may encompass areas including finance, distribution, marketing, manufacturing and human resources, amongst others.

Attempting to select an ERP system without fully understanding the needs and desires of your business can be both risky and expensive.  This can lead to a loss of time and money — and can violate the trust of users and stakeholders.

There are so many different software applications in the market today that a single ERP is not always a complete solution.  In many cases, it can also mean purchasing and integrating multiple specialist applications and rolling them out across functional areas.

Planning Ahead

Remember that if you are unsure of why you are selecting an ERP system, you probably shouldn’t be doing it.

Software requires upgrades to be at its best, and upgrades cost money. So make sure to read the contract terms carefully, and don’t forget to include recurring software fees as part of the total cost of ownership.  You need to be prepared to truly invest in the ERP system you select.

These days most modern ERP systems are hosted “in the cloud”, which means the vendor takes care of upgrades and all related server infrastructure.  Your responsibility will be to ensure you have robust and reliable local internet access and that you understand the licensing costs for additional users, functions or modules.

There may also be a requirement for “staging” an implementation over a longer timeframe to give the business time to digest and plan various process changes.  This may incur additional implementation or system costs.

Vendor and Partner Evaluation

The ERP world is huge.  There is a seemingly endless array of vendors, platforms, and acronyms. However, there are practices to mitigate any feelings of confusion or discouragement.

Sometimes during software demonstrations, vendors get carried away with their presentations and fail to let you and your team engage with the software itself. Don’t forget that the software is what you’re there to see! You do not want to make a selection without understanding how the software will work in your key operational areas.

Require that vendors provide you with an ERP implementation roadmap. Just as it is important for you to know your strategy, it is important for your vendor to know their strategy, too.

Finally, ensure the implementation partner understands your business and your industry — experience is key! Choosing the wrong implementation partner could lead to a complete ERP failure, even if you choose the right system.
